Adopt a Student is committed to respecting your privacy, and we will only ask you for personal information where it is required for us to provide and maintain our services to you, or perform any other charity functions and activities.

We comply with the New ZealandPrivacy Act 1993 (the Act) when dealing with personal information. Personal information is information about an identifiable individual (a natural person). This policy sets out how we will collect, use, disclose and protect your personal information. This policy does not limit or exclude any of your rights under the Act. Keeping Up to Date

We may update this policy by uploading a revised policy onto the website. Changes will apply from the date that we upload the revised policy.

How we Collect Your Information

We collect personal information about you from:
The information you provide to us, including via website, mobile application and any related service, registration process, online surveys, telephone, text or email.

You may be able to use a social media login (such as Facebook, Linked in, Instagram, Twitter)to access our services. This saves you from remembering another username and password and allows you to share some information from your social media account with us. The information provided to us from these companies includes their unique identifier for your account, your email address, your name, date of birth and profile picture. If possible, we will collect personal information from you directly.

When you interact with us through various social media, such as Facebook, Twitter, LinkedIn, Instagram or other sites, we may receive information from those social networks including your profile information, picture, user ID associated with your social media account, friends list, and any other information you permit the social network to share with third parties. The data we receive is dependent upon your privacy settings with the social network. You should always review, and if necessary, adjust your privacy settings on third-party websites and services before linking or connecting them to our website or Service.

How we use your personal information

We will use your personal information:

  • to verify your identity
  • to provide services (and products) to you
  • to answer your enquiries and to deliver member services to you
  • to communicate directly with you, such as to send you email messages, survey questionnaires and push notifications.
  • to undertake police vetting checks
  • to improve the features and functionality of the services we provide to you.
  • to improve the improve quality and design of the Website
  • to manage and resolve any legal, consumer or commercial complaints or concerns
  • to conduct research and statistical analysis but only with de-identified data
  • to meet our legal obligations, including protecting and/or enforcing our legal rights and interests, including defending any claim
  • to consider making any offers for employment purposes
  • to carry out internal functions including training
  • for any other purpose authorised by you or the Act

You can control your communication preferences. Some of our communication will be handled via athird-party mail provider such as Hubspot, Survey Monkey or Mailchimp.

Disclosing your personal information

We do not disclose personal information to any third parties. Except in the following circumstances:

  • any business that supports our services and products, including printers, delivery companies, post suppliers. any person that hosts or maintains any underlying IT system or data centre that we use to provide the website or other services and products, survey companies acting on our behalf, digital marketing agencies (for the purpose of targeting on social media) Any information shared with these parties will remain confidential unless required by law.
  • Payment systems operators and financial institutions
  • Organisations we have authorised to undertake promotional, research or marketing activities a person who can require us to supply your personal information (e.g. a regulatory authority)
  • any other person authorised by the Act or where required by applicable law or any court, or in response to a legitimate request by a law enforcement agency.
  • any other person authorised by you, including persons nominated by you, executors, trustees, and legal representatives

We do not disclose to any third-party any personally identifiable information (including any identifiable health information) provided by you without your authorisation, unless required by law. However, we reserve the right to notify public health authorities, law enforcement, or other persons capable of addressing the situation if we believe that such information (by itself or when coupled with information from other sources) indicates potential harm to yourself or others.

In all cases where your personal information is disclosed, we will take reasonable steps to ensure that these third parties undertake to protect your privacy.


Using data quality and security to protect your personal information

Maintaining your trust and privacy is extremely important to us. Below are reasonable steps we have taken to keep your personal information safe from loss, unauthorised activity, or other misuse.

  • Your data is yours and we don’t sell any identifiable data to third parties
  • We undertake reasonable steps to ensure your personal information is stored securely and is protected from misuse and loss, and from unauthorised access, modification or disclosure
  • We use secure servers and industry standard data encryption whenever we are receiving or transferring your personal information online
  • If you request us to do so we will delete your data so that it may not be used for any purpose (such as marketing).  However your name may still remain on our database as it will be attached to historical records and transactions.

Whilst we undertake to make every reasonable effort to protect your personal information, you acknowledge that no such effort can completely guarantee the security of the stored data, that breaches of security are still a possibility both regarding our systems and that a data security breach resulting in unauthorised access to your information can occur in third party system (for example, ISP's, third party providers, and hosting services providers). As a result, we do NOT warrant or ensure the integrity and security of the data stored in its systems, including without limitation your information.

We accept no responsibility for any loss, misuse, unauthorised access, or disclosure, alteration or destruction of personal information you provide to us.

Internet Privacy

While we take reasonable steps to maintain secure internet connections, if you provide us with personal information over the internet, the provision of that information is at your own risk. If you post your personal information on our website or other social media channels you acknowledge and agree that the information you post is publicly available. If you follow a link on our website to another site, the owner of that site will have its own privacy policy relating to your personal information. We suggest you review that site’s privacy policy before you provide personal information. We may use cookies (an alphanumeric identifier that we transfer to your computer’s hard drive so that we can recognise your browser) to monitor your use of the website. You may disable cookies by changing the settings on your browser, although this may mean that you cannot use all of the features of the website. We may use Google Analytics to analyse the audience of the website and improve our content and better understand our audience and improve the site to meet its needs. No personal identifiable information is collected from Google Analytics. How to access your personal information

Subject to certain grounds for refusal set out in the Act, you can request access to the personal information we hold about you at any time.  You can also make changes your personal information at any time.  Please email us at kiaora@adoptastudent.org.nz to initiate either of these requests. Your email should provide evidence of who you are and set out the details of your request (e.g. the personal information, or the correction, that you are requesting). 

You will not be charged for accessing your information; however we may need to charge you reasonable costs of providing to you copies of your personal information or correcting that information including photocopying, administration and postage.  We will advise you of any fee payable before we process your request.

If we are unable to give you access to the information you have requested, we will give you reasons for the decision when we respond to your request.
